Job Title: Administration Team Leader (Operations Department)

Location: Liverpool

Salary: up to £33,000 per annum, depending on experience

Job Type: Permanent, Full Time

The Administration Team Leader will oversee the office administration function within the Operations Department, leading the administrative team and working closely with warehouse operatives to ensure efficient day‑to‑day operational support. The role will be responsible for coordinating administrative processes, managing the CRM system, processing orders and quotations, and ensuring key operational documentation and reporting are maintained accurately.

About the role:

· Lead and manage the office administration team within the Operations Department

· Work closely with warehouse operatives to ensure smooth coordination between administration and warehouse activities

· Manage and maintain the company CRM system, ensuring accurate and up‑to‑date data.

· Prepare and send customer quotations in a timely manner

· Process and manage purchase orders and associated documentation

· Handle and coordinate warranty requests with suppliers and internal teams

· Compile and produce operational and management reports as required

· Oversee supplier Pre‑Qualification Questionnaires (PQQs) and maintain accurate records

· Support internal auditing functions and ISO record keeping

· Maintain and update the company training matrix

· Support internal health & safety reporting and record keeping

· Support the Head of Operations with administrative and operational reporting requirements

· Identify opportunities to improve administrative processes and operational efficiency

· Provide general administrative support to the Operations Department as required

About you:

· Previous experience in an administrative leadership or senior administration role

· Strong organisational and coordination skills

· Competent in Microsoft Office 365 (Word, Excel, Outlook, and related tools)

· Experience working with CRM systems

· Experience in health & safety or compliance advantageous

· Ability to manage multiple tasks and priorities effectively

· Strong communication and interpersonal skills

· High level of attention to detail and accuracy

· Ability to work collaboratively with both office staff and warehouse operatives

· Proactive and solution‑focused approach to work
